Senior Purchasing Agent
Urbana University, a branch campus of Franklin University, has a full-time position available for a Senior Purchasing Agent. The Purchasing Agent is the primary point of contact for all purchasing operations on the Urbana campus and is the sole procurement representative for the University.
It is the responsibility of this position to receive all purchase requisitions that are generated; obtain all supporting documentation; generate all purchase orders based on approved requisitions; maintain vendor files to include W-9 forms, workers’ compensation certificates and liability insurance certificates; maintain tax exemption forms; coordinate print shop orders; coordinate office supply ordering system; be the central point of contact for all contracts; approve purchase orders in the business portal; sign purchase orders (within limits of authority granted); manage encumbrance in the University business system; manage blanket purchase orders; coordinate travel arrangements between on-campus users and vendors; manage package shipments and train employees on use of the business portal.
In addition, the Purchasing Agent will receive all deliveries against purchase orders; receive goods and services into the business system; receive all incoming packages and controlled mail pieces; make entries onto the package log and deliver them to the customer; provide monthly reports; process and deliver all items listed on Inventory Requests received from the various University departments. The Senior Purchasing Agent is the primary point of contact for all student, staff and faculty mail services and is responsible for supervision of assigned student work-study employees.
The successful candidate will have a minimum of two years of experience in purchasing or material management and the ability to lift 50 pounds. Must be detail oriented; possess excellent organizational and interpersonal skills, and the ability to multi-task. Proficiency in Microsoft Word and Excel is required. Experience with electronic requisition systems and knowledge of vendor management is also required. This position will require a professional with strong relationship management skills who can work independently as well as part of a team to enforce the Purchasing Program. Travel between the Urbana and Franklin University campuses will be required approximately 25% of the time. A satisfactory Motor Vehicle Report will also be required as part of the background check process as well as throughout employment.
